The sign-in book
Each project has a Sign-in book under its Site tab. It lists who is on site now: visitors and subcontractors signed in at the gate, plus team members who clocked in.
To sign someone in, enter their name, company and phone (so the site team can reach them in an emergency), who they’re here to see, the reason for the visit, and optionally a vehicle registration and visitor badge number. They read the site rules, tick to say they have, and sign. Signing out takes them off the list and out of any roll call.
On the web, staff can sign people in and out from the project’s sign-in book in the same way, with the same checks.
Kiosk mode
Leave a phone or tablet at the gate in Kiosk mode and people sign themselves in and out: crew find their name (“today’s crew comes first”), visitors fill in the form. Leaving kiosk mode asks for the device’s own unlock (PIN, pattern, fingerprint or face), so a visitor can’t wander into the app.
Fire roll call
Tap Start a fire roll call. Everyone signed in or clocked in on the project is listed, and they and the managers are told straight away, even in quiet hours. Mark each person safe as they reach the muster point. The roll call works without signal: marks are saved on the phone and sent when you’re back online. Close it only when the fire service or the site manager says so.
Clocking in
Team members clock in and out on their own phone, from the Clock in card on Today or the project’s Team → Attendance. Each clock-in becomes a timesheet line that an approver checks later.
Site rules
Set per project on the web (Settings → Site rules) or on the phone (the project’s Team → Site rules):
- Tickets and cards. Choose the tickets everyone must hold (for example CSCS) and extra tickets by trade (for example CISRS for scaffolders). For each check choose Off, Warn (a missing or lapsed ticket shows as a warning) or Block (it stops the crew booking and the clock-in until a manager allows it). You can require tickets to have been checked against the original card.
- Site induction. Require people to be inducted before they can clock in, and how many days an induction lasts.
- Location at clock-in. Off, Record (the location is kept for approvers), Warn (a clock-in outside the site boundary is flagged) or Block (a clock-in outside the boundary is stopped; an unknown location never is). Choose how many months to keep clock-in locations (1 to 84).
- Clock-in only for people booked on the project that day.
Inductions
The project’s Team → Inductions shows who has been inducted. Induct someone with a signed induction form, or record an induction done on paper. Revoking an induction stops it counting straight away.
Letting someone in
If a rule stops someone, a manager can allow access with a reason for a set time. Nobody can let themselves in. Overrides are listed under Allowed on this project now, and can be withdrawn.
Your location and privacy
Location is taken only at the moment someone clocks in or out, never in the background. Only the person, approvers and managers can see it. Older coordinates are deleted every night once they pass the company’s retention period; the timesheets themselves are kept. Visitors’ details are kept for a set number of months and then removed, leaving only the numbers.
