Raise a permit for high-risk work, complete its checklist and RAMS, have an Authorised Person issue it for a set time, and stop, extend, hand back and close it on site.

Who can do it
Anyone with Create records can raise a permit, and anyone on the project who can write can stop work. Issuing, extending, resuming and closing are for Authorised Persons, whom owners and admins appoint on the web. Until anyone is appointed, owners, admins and people with Approve & sign issue permits.
Where
Phone and web. Appointing Authorised Persons and attaching RAMS are on the web.

A permit to work controls high-risk work: hot works, confined spaces, work at height, excavations, isolations and lifts. In Konverge a permit can’t go live until its checklist is done and the person in charge of the work has signed the RAMS.

Before you start (owners and admins, on the web)

In Settings → Permits, appoint the Authorised Persons: the people trained to issue permits, each for the permit types and projects you choose, optionally until a date. Only they can then issue, extend, resume and close permits.

Until you appoint anyone, your approvers issue permits: owners, admins and anyone with Approve & sign. Appointing Authorised Persons limits it to the people trained for it.

Raise a permit

Open the project’s Site → Permits and choose Raise a permit.

  1. Type of permit and a title in a few words (“Weld brackets to riser 2”).
  2. What will be done, and how: the method, equipment and controls.
  3. Where: choose a location, so Konverge can warn you about clashing permits in the same place, or describe the place.
  4. Who receives it: the person in charge of the work, someone in your company or a contact. They sign the RAMS and hand the permit back at the end.
  5. A proposed start and end. A permit can last at most 7 days. The issuer sets the final window.

Save as draft, or Send for issue to send it to the Authorised Persons. Without signal the phone saves it, and it gets its number and goes to the Authorised Persons when you’re back online.

Before it can be issued

The permit shows a Before it can be issued list:

  • The permit checklist: an inspection form, filled in and signed. Starting it needs a connection.
  • RAMS signed by the receiver: RAMS are attached on the web from the project’s documents, and the receiver signs them, or is briefed on them at a toolbox talk.
  • No clash with other live permits in the same place. If there is one, say why it’s safe anyway.
  • An Authorised Person to issue it.

Issue, extend, stop, close

Action What happens
Issue permit An Authorised Person sets the valid-from and valid-until times. The permit is Live.
Extend Moves the end time, with a reason, up to 7 days from the start.
Stop work Anyone on the project who can write can stop work under a live permit, with a reason (weather, say). No work under it until an Authorised Person resumes it. Stop work also works without signal.
Hand back The receiver (or the issuer) says the work is finished and the area is safe. Hot works start a fire watch: 60 minutes by default, or 30 minutes to 2 hours.
Close permit The issuer or an Authorised Person closes it. During a fire watch, keep watch until it ends, then close the permit.
Cancel permit Withdraw a draft or a request, with a reason. Whoever raised it, or a manager, can cancel.

A permit that reaches its end time while still live shows This permit has run out: stop the work, hand it back and close it.

Every step is kept in the permit’s History.

The board and the PDF

The project’s permits list has Live, Waiting, Ended and All views. Print or share the permit makes a PDF to post at the work area.

Good to know

  • An issued permit can’t be edited. Stop it, extend it or hand it back instead.
  • Hand back, close and resume ask for a signature, which needs a connection.
